Why One Vehicle Program Needs One Vocabulary

Every market that sells a vehicle also reads its paperwork. Article 59 of Regulation (EU) 2018/858 says manufacturers shall make available to users all relevant information and necessary instructions.

That covers any special conditions or restrictions on how a vehicle or part is used. Paragraph 3 then requires that information in the official language or languages of each Member State, inside the owner’s manual. One model sold across the EU, then, carries a different language obligation in each country it reaches.

Meeting that obligation for one manual is the easy part. The hard part is keeping every manual, screen, and campaign consistent while the content keeps changing. We handle five problems that come up on vehicle programs:

  • The same feature gets three names.

The owner's manual says “lane keeping assist,” the display says “lane guidance,” and the dealer guide invents a third term. Our linguists apply one approved glossary to the manual, the interface, and the training, so drivers and technicians read the same word everywhere.

  • Approved terms get reopened.

One reviewer in Spain approves a term in March. In May, a different reviewer changes it in the next document. We record every approved term in your glossary, so the next document starts from that decision instead of debating it again.

  • Launch volume lands at once.

Manuals, training modules, brochures, and website pages all arrive in the weeks before a model goes on sale. Our business programs add a dedicated project manager and multi-language workflows to absorb the peak.

  • Regional variants get treated as one language.

Mexican and European Spanish buyers, or Canadian and European French drivers, expect different words for the same part. We confirm the variant for every market during scoping, and each one gets its own linguist and glossary.

  • Source files change mid-project.

Software updates rename menus, engineers revise specifications, and warranty clauses get rewritten. Our translation memory stores every segment you’ve already approved, so we translate only the text that changed. Your updated files come back without reopening wording you signed off on earlier.

Automotive Content We Translate

Each content type has its own reader, from the technician holding a torque wrench to the buyer comparing trims online. We group the work by that reader, with one terminology across every group.

  • Technical Manuals and Service Documentation

Automotive manual translation covers owner’s manuals, service and repair manuals, specifications, parts catalogs, and warranty booklets. Our automotive technical translation keeps torque values, part numbers, and warnings identical to the approved source, so technicians abroad follow the same procedure.

  • Compliance Documents and Service Campaigns

Our compliance work covers homologation files, declarations of conformity, technical service bulletins, and recall letters, each matched to the approved source line for line. Recall letters carry their own rules. Under 49 CFR 577.5(a), recall notices sent to owners in Puerto Rico shall be written in both English and Spanish. Submission, type approval, and technical sign-off stay with the manufacturer.

  • Electric Vehicle and Connected Car Content

Charging instructions, battery care guidance, in-vehicle screens, and companion apps all need region-aware terms, because plug types and charging standards differ by market. Interface strings go through our software localization service, fitted to each display’s character limits. On-screen checks run through localization testing.

  • Dealer Training and Supplier Documents

Our linguists translate dealer training, sales guides, supply contracts, component specifications, and control plans, so suppliers abroad work from your engineers’ terms. Factory documentation, from machinery manuals to quality systems, goes through our manufacturing translation service.

  • Marketing and Digital Experiences

Brochures, launch campaigns, configurator pages, and dealer websites use the same glossary as your manuals. Taglines go through transcreation, because one market buys a car for its safety rating and another for family comfort. Full dealer sites go through our website localization service.

  • Interpreting for Plant Visits and Supplier Meetings

We provide interpreters for supplier audits, plant tours, engineering reviews, and dealer launch training. Sessions run by phone, video, or on-site, with native-speaking interpreters in each language.

Put the manuals, software text, and campaigns for your next model year into one project with us.

Approved Terminology Across Models and Updates

Vehicle programs outlive their first launch. Facelifts, new trims, and over-the-air updates bring the same features back in new documents for years.

Our terminology management starts with the references you already have. Existing glossaries, approved terms, earlier translations, and style guides go into the project before the first file is translated. Translation memory then stores every approved segment, so a 2027 service bulletin uses the same wording as the 2025 owner's manual.

Brand names, trim names, and feature trademarks stay untranslated unless you ask otherwise. When a facelift renames a feature, the glossary records both the old and new term. Service documents for older vehicles then keep the original name. For each market, the glossary lists the approved term, its regional variant, and any wording to avoid. Our linguists apply that list to every file in the program, from the parts catalog to the dealer website.

How We Review Technical Content

Review on an automotive project covers two separate things: the language and the engineering content. We review the language and keep the engineering content exactly as your source states it. When the source is unclear, we ask instead of guessing. Take a torque value in the text that doesn’t match the table beside it. Our linguists flag both figures and confirm the correct one with you before translation goes ahead.

Human Review and AI Use

The workflow depends on content type, risk, volume, deadline, and your requirements. Professional human translation covers high-stakes text such as safety instructions and warnings. AI-assisted options are available for suitable high-volume material, and only with your approval.

Checks Before Release

Every automotive translation goes to a second qualified linguist, who compares it with the source line by line and checks terminology, completeness, and consistency. Our final quality check then covers formatting and your project requirements before any file leaves us. Formatting checks compare the translated layout with the source, so tables, warning symbols, callouts, and figure labels stay where you originally placed them.

How Your Automotive Project Moves From Brief to Release

Six stages carry every project, whether it's one parts catalog or a full model-year launch.

  1. Scope and markets:

We confirm the content, languages, regional variants, volume, and deadline, then send a quote with a schedule for each language.

  2. References and review roles:

Your glossary, style guide, and past translations go into the project, and we confirm who approves terminology in each market.

  3. Translator assignment:

Each language pair goes to a linguist matched by subject matter, from powertrain documentation to dealer marketing.

  4. Translation and review:

The translator works from the approved references, then the file moves to second-linguist review.

  5. Formatting and files:

You receive editable or final files in the agreed format, laid out to your project requirements.

  6. Feedback and approval record:

Every approved change goes into the glossary and translation memory for the next round.

Book your automotive translation project, and we'll set up the glossary and review roles before translation starts.

Protecting Unreleased Vehicle Content

Schematics, pre-launch specifications, and campaign plans reach us months before the public sees the vehicle. Access stays limited to the linguists assigned to your program. The safeguards behind that are published in our Trust Center:

What Shapes Your Automotive Translation Quote

Your automotive translation cost depends on five things: volume, language pairs, complexity, deadline, and workflow. Your quote shows each one before work begins.

For recurring work, such as monthly service bulletins, our business and enterprise programs run everything through one account. You get a dedicated project manager, terminology management, translation memory, and enterprise billing. Each month’s bulletin then starts from wording you’ve already approved.
