Specialist Transcription for Business Teams

Our transcriptionists work with legal, medical, corporate, and media recordings. Human review addresses specialist vocabulary, speaker context, and the document conventions for each assignment.

Our project team coordinates transcript review and any separate translation or subtitle deliverables.

Where Transcripts Create Extra Work

An incomplete written record sends your team back to the audio. Unclear names slow review. Missing speaker labels leave readers uncertain about who made a statement. Inconsistent formatting adds work when departments combine transcripts from several sessions.

  • Specialist Terminology

Our transcriptionists work with legal, medical, corporate, and media terminology. Terminology management starts with your approved names, product spellings, and abbreviations. Include terms that sound alike or have several meanings.

  • Speaker Clarity and Audio Quality

Our team assesses background noise, accents, and overlapping voices during file review. Speaker references and timestamps locate passages that need attention. The project manager accounts for difficult sections in the estimate.

  • Transcript Requirements by Intended Use

Our team matches the written record to its intended use. Legal review might require verbatim wording. Internal distribution might require an edited version. Training production adds separately scoped subtitle or caption work.

Discuss the transcript deliverables your departments need.

Transcription Services by Recording Type

Our service covers audio and video, with specialist transcription for legal and medical material. The recording type determines the vocabulary and the document conventions. Your intended use sets the output requirements.

  • Business Audio and Interview Transcription

Our audio transcription service covers business meetings, conferences, presentations, and podcasts. We also provide interview transcription for recorded discussions.

For a recurring series, our project manager coordinates speaker names, recurring terms, and related session files. That shared reference keeps document conventions consistent through the assignment.

  • Legal Transcription

Our legal transcription work covers recorded proceedings, conference calls, and legal pleadings. The project manager reviews the matter references, speaker details, and intended recipient’s format. Court-specific conventions or certification requirements receive separate assessment.

  • Medical Transcription

Our medical transcription work covers patient histories, examination notes, and operative reports. Transcriptionists use medical terminology and recording context. The project manager coordinates the agreed handling arrangements before sensitive files enter production.

Our healthcare language services cover related translation needs around those records.

  • Video Transcription

Our video transcription service covers presentations, tutorials, and business video. Time-coded transcripts also provide a source for translation and subtitle production.

For training libraries, eLearning localization covers the course material around the video. Specify the transcript and any related production work as separate deliverables.

Define the service mix for your recording archive or recurring program.

Transcript Options and Delivery Formats

Our transcription services include format choices, multilingual work, timestamps, and speaker identification. Set those requirements together so the team delivers documents suited to the review process.

Verbatim, Intelligent, and Edited Transcripts

Verbatim transcription preserves the spoken wording. An edited transcript changes presentation for readability under agreed instructions. Intelligent transcription offers another style option. Our project manager confirms the treatment of repetitions, false starts, and filler words.

Speaker Labels and Timestamps

Speaker labels identify the participants. Timestamps locate passages in the recording. Our team includes the agreed labels and time markers so reviewers compare the transcript with its source.

Our transcriptionists use the participant references to distinguish names and roles. The project manager records any requirement for anonymized labels before the team prepares the transcript.

Multilingual Transcription and Transcript Translation

We provide multilingual transcription and transcript translation. Transcription records speech in the source language. Translation produces a version in the target language.

Our project manager checks the spoken languages, regional preferences, and delivery languages. The proposal distinguishes source-language transcripts from translated versions, including recordings where speakers switch languages.

Input Formats and Final Documents

We accept audio files such as .mp3 and .wav, and video files such as .mp4, .avi, and .mov. Delivery options include Word documents, .pdf files, and plain text. Subtitle projects also use SubRip subtitle files (.srt).

A transcript and a caption file serve different purposes. The World Wide Web Consortium (W3C) distinguishes basic transcripts from descriptive transcripts in its official transcript guidance. Descriptive transcripts include essential visual information alongside the audio record.

For subtitling and captioning, specify the playback and accessibility requirements separately. An ordinary speech transcript does not establish that a video meets every accessibility requirement.

Human Transcription and AI-Assisted Options

Human transcription

Human transcription is available for specialist recordings and projects that require attention to context. Our transcriptionists work with accents, multiple speakers, and industry terminology. The brief gives them the names and document conventions that belong to your organization.

AI transcription service

Our separate AI transcription service uses artificial intelligence (AI) to draft text, followed by human editing. Editors correct terms and speaker labels and format the text to the project instructions.

Our project manager confirms the production method and applicable data-handling terms. The service agreement records restrictions on processing tools before sensitive recordings enter production.

How a Transcription Project Runs

Our project team scopes the recordings and prepares the agreed deliverables. One project brief brings source files, terminology, transcript choices, and review instructions together.

  1. 1. File Review and Scoping

Our team assesses recording length, languages, audio quality, and complexity. The project manager then quotes the agreed service, format, and delivery requirements.

  2. 2. Terminology and Transcript Instructions

The project manager collects names, specialist terms, and any document template. The brief records transcript style, speaker labels, and timestamps together. The same instructions cover an agreed recurring series.

  3. 3. Transcription and Speaker Identification

Our transcriptionists prepare the written record. For an AI-assisted engagement, a speech engine creates the initial draft. Human editors then correct the text and labels.

  4. 4. Review and Corrections

Our team reviews the transcript under the agreed production method. Organization-specific names and terms go to your designated reviewer for clarification. Review notes identify the source passage for each correction.

  5. 5. Delivery in the Agreed Format

Our team delivers the specified document files with their recording references. Translation or subtitle deliverables follow their separately agreed formats. Those version references keep the source and written record aligned during review.

Establish the project brief, review responsibilities, and delivery schedule for your teams.

Security and Confidentiality

  • Our transcriptionists sign nondisclosure agreements (NDAs). File access is restricted. Our security architecture includes role-based permissions and multi-factor authentication (MFA).

  • Our infrastructure uses the Advanced Encryption Standard (AES)-256 for stored data and Transport Layer Security (TLS) 1.3 for data in transit.

  • The Trust Center provides access to security documents, reports, and agreements for verified organizations. Project-specific transfer, retention, and deletion requirements belong in the service agreement.

Healthcare contracts

Healthcare Records and Contract Requirements

  1. We are prepared to enter into business associate agreements (BAAs) for applicable healthcare work. The agreement defines permitted uses, safeguards, breach obligations, and termination arrangements.

  2. For work subject to the Health Insurance Portability and Accountability Act (HIPAA), the business associate contract needs specific termination terms.

  3. Under the Code of Federal Regulations, 45 CFR 164.504(e)(2)(ii)(J) requires the contract to address protected health information (PHI) at termination. It must provide for return or destruction if feasible, with no copies retained. If return or destruction is infeasible, protections continue. Further use or disclosure is limited to the purposes that make either action infeasible.

  4. Our project manager coordinates the agreed handling terms before sensitive recordings enter production. Your legal and security teams approve the contract arrangements for working copies and final transcripts.

Related Case Study in Multilingual Document Translation

Our video studio case study documents translation into nine languages. The engagement covered Estonian, Slovakian, Romanian, Hungarian, Latvian, Lithuanian, Bulgarian, Croatian, and Greek.

The studio needed a language partner for business documentation. Day Translations provided document translation with a predictable rate and included edits. These were the terms of that translation engagement.

This case covers related language work for a media organization. Its service scope remains document translation.

Transcription Pricing and Project Scope

We quote transcription on a per-minute or per-hour basis. Audio quality, project complexity, and the required turnaround affect pricing. High-volume and ongoing projects qualify for volume pricing.

The proposal prices the recording set, languages, transcript style, and output formats. Timestamps, speaker identification, translation, and subtitle work appear as identified deliverables.

The project manager sets the delivery schedule after reviewing recording length, audio quality, and complexity. Timing reflects the agreed language, recording, and service combination.
